Time Off and Leave

The university grants paid leave benefits to qualified groups of employees. Employees may earn vacation and sick leave as well as receive holiday pay for days the university is closed. Twelve-month employees working at least 20 hours per week (halftime) will receive leave benefits at a pro-rated rate.

Sick Leave

Sick leave can be used for personal illness or up to five days may be used for the care of an employee’s immediate family member.

Eligibility

Active half-time or greater employees are eligible to receive sick leave benefits.

Non-Exempt Staff

Non-exempt staff employees are eligible to accrue up to 12 sick days per a year. The university reserves the right to require documentation of illness for the utilization of sick days. Up to three days of sick leave per year may be taken as personal days. At the end of each fiscal year, unused sick leave up to five days will be carried over to the next fiscal year. Any unused sick leave in excess of five days will be placed into a short-term disability reserve. An additional 10 days of short-term disability reserve is provided by Capital and accrued over a 12 month period. The maximum accrual in the short-term disability reserve shall not exceed six months.

Faculty and Exempt Staff

Exempt employees are eligible to accrue up to 20 days per a year. The maximum accrual of sick time shall not exceed 900 hours or six months.


Vacation Leave

Vacation leave may be used by the employee for any reason. Requests for vacation leave should be provided in writing to an employee’s supervisor at least two weeks in advance. Vacation time is to be taken according to the request of the individual and as approved by his/her immediate supervisor, with due consideration to the needs of the university. Supervisors have the authority to approve or disapprove of vacation requests. The amount of accumulated vacation an employee may have to his/her credit is 25 days. An employee will cease accruing vacation time once he/she meets the maximum allowable vacation time.

Eligibility

Active half time or greater employees working twelve months of the year are eligible to receive paid vacation benefits.

Non-Exempt Staff

The university provides eligible non-exempt staff with an accrual based upon their years of service. Employees with 0 to 5 years of service accrue 10 days per a year, employees with 6 to 15 years of service accrue 15 days per a year, and employees with 16 or more years of service accrue 20 days per a year.

Exempt Staff

Exempt staff are eligible to accrue up to 20 days per a year of vacation leave.

Faculty Personnel

Faculty members follow the academic calendar year and do not receive accrued vacation days.


Paid Holidays

The university recognizes eight (8) paid employee holidays plus a designated Winter Holiday Break:

  • Good Friday
  • Memorial Day
  • Juneteenth
  • Fourth of July
  • Labor Day
  • Wednesday before Thanksgiving
  • Thanksgiving Day
  • Friday after Thanksgiving

The exact dates of all recognized holidays will be announced at the start of each fiscal year. The Law School currently holds classes on the Wednesday before Thanksgiving, which will continue, but the staff will have a paid holiday on that day.

When a holiday falls on a Saturday, it will be recognized the workday immediately preceding. Holidays falling on a Sunday will be recognized the workday immediately following.

Winter Break

Winter Holiday Break is a paid period at the end of the calendar year which includes Christmas Eve, Christmas Day, the week between Christmas Day and New Year’s Day, and New Year’s Day.

Eligibility

Twelve-month employees working at least 20 hours per a week (half-time) are eligible for holiday pay. Employees on an unpaid leave of absence are not eligible for holiday pay.

Employees whose last day of employment precedes a holiday are not eligible for holiday pay.

Holiday Pay

Some employees may be required to work on a holiday in order to maintain necessary services. In such cases the supervisor will make all arrangements. Twelve-month non-exempt employees contracted to work at least half-time, who are required by their supervisor to work on a holiday, will be paid an additional 1.5 times their hourly rate of pay for time worked on that day.
