Description
The Event Student Assistant will assist the Meeting and Event Services Department to ensure successful events on campus.
Responsibilities
• Polite, positive, pro-active, and professional
• Answer calls to main office number and convey messages accordingly, check voicemail
• Utilize 25Live Event Management System to create confirmations, setup work orders and confirmations to clients as needed
• Handle confidential information
• Prepare various documents, reports, data entry, and invoices as requested
• Assist with setup of event and/or equipment as well as monitor events and/or access doors, troubleshoot issues
• Provide assistance to clients during event ensuring that all needs are met
• Work mandatory dates & events such as but not limited to commencement and homecoming
• Other duties as assigned
Qualifications
• Be reliable, punctual, flexible and willing to assist with a variety of tasks as requested including table and chair setup, linen setup, and more
* Setup and tear down audio visual equipment
• Flexible working hours - willing to work evenings and weekends
• Be organized, detail oriented and resourceful, with good problem-solving and decision-making skills.
• Work in a diverse environment while remaining respectful and responsive to each member of our staff.

• Possess good problem-solving and decision-making skills
• Excellent interpersonal skills with emphasis on customer service.
• Attend any necessary training
• Be familiar with Capital’s campus.
• Be on time for each shift and all meetings.
• Be able to notify supervisor at least 24 hours in advance if unable to work a particular shift.
• Dress is casual but needs to be appropriate for the specific duty. Proper protective footwear must be worn (no flip flops, close-toed shoes are preferred)
• Be able to sit, walk, or stand for more than 3 hours and lift a minimum of 20lbs.
• Understand that management reserves the right to terminate a position with reasonable cause.
Comments
Students hired for this position will assist the Director of Meeting & Event Services, Event Operations Supervisor, Events Coordinator, and/or Administrative Assistant. This position reports directly to the Event Operations Supervisor.
This position requires tact, patience, a calm demeanor, and exemplary manners. Appropriate language and behavior are not only expected but required.
